Position Overview: Calix is seeking a Proposal Coordinator to join as a member of our Sales Excellence team. The successful candidate will be responsible for project managing our customer facing requests for proposals, requests for information and proposals around our newest platforms.





This person is responsible for the project management of customer facing requests for proposals, requests for information (RFPs, RFI), as well as professional proposals around our new platforms of AXOS software and Calix Cloud Software as a Service solutions. The Proposal Coordinator will work closely with sales, product line marketing, inside sales, professional services, customer services, and other groups as necessary to coordinate a strong and compelling customer facing document.

The Proposal Coordinator will be responsible for the overall drafting and presentation of content for compelling proactive proposal documents, and maintaining the corporate boilerplate. Ideal candidates will be excellent communicators, with strong organizational skills and extensive writing experience in a professional environment. In addition, the Proposal Coordinator will provide support and backup to the Proposal Manager focused on delivering highly technical RFP documents so a technical aptitude is required.

This person will establish best practices and set firm standards for generating compelling, value based proposal and collaborate with the proposal team, and account team to draft content for RFP submissions.

Draft, update and maintain practice descriptions, tailored content and other standard response language used in proposals and RFPs. This also includes the development of templates for cover letters, executive summaries and follow-up letters. Coordinate and maintain corporate boilerplate and ensuring contents are updated.

Responsibilities include, but not limited to:

  • Proposal & Sales Support – Work with members of the Sales teams to help manage pipeline of incoming proposals and identify needed responses and timelines, and communicate with sales leaders during the RFI/RFP process - from receipt and prioritization of work to delivery, to provide clear and comprehensive documents and updates.
  • Responsible for developing proposal plans, proposal schedule, coordinating workflow, compliance matrix, proposal outline, tasking and managing proposal volume leads as well as coordinating color team reviews
  • Coordinate and organize proposal writing across sales teams
  • Contribute to proposal graphics development, supports marketing efforts by developing and writing market collateral materials.
  • Develop presentations and/or case studies for clients and write win announcements as needed.
  • Exceed organizational goals by accepting ownership for accomplishing new and different requests and exploring opportunities to add value to job accomplishments.
  • Develop proposal content by assembling information and creating solutions / outcomes / benefits outlines and writing compelling text with win themes and differentiators.
  • Leverage internal network, experience, internal tools and facts to respond to RFP/proposal requests appropriately
  • Collaborate with subject matter experts and other writers to refine proposal sections to ensure accuracy, compliance, consistency, and reflection of win strategies.
  • Develop process for feedback on submissions to leverage experience from successful proposals/wins to develop strategies for winning submissions.
  • Continuously develop, increasing technical knowledge and presentation skills by participating in educational opportunities and maintaining personal and professional networks.


Required Skills/Experience

  • 5+ years delivering value based proposals preferably in the Software, Telecommunications, Access or Enterprise Network industry.
  • Exceptional writing, editing and proofreading skills, including impeccable grammar; able to filter and distill information to the right audience.
  • Experience communicating through simple intuitive value based infographics.
  • Adept at database/information management.
  • Ability to multitask, work in pressure-filled situations, and meet short deadlines.
  • Ability to work independently and to coordinate directly with sales, marketing, cross-functional departments (accounting, legal, finance), competitive and analysis team, and senior leadership with minimal supervision.
  • Proficient in Microsoft Office suite such as Outlook, Excel, Word, and PowerPoint.
