Calix is seeking a Facilities Administrator for its San Jose operation. The goal of the Facilities Administrator is a service-oriented individual that has outstanding attention to detail, has good communication and multi-tasking skills and can work well with internal customers and external vendors. In addition to Facilities related tasks, this individual will be the first point of contact for incoming visitors and perform all associated reception duties.  Candidate must be able to lift at least 50 lbs & maneuver an 8 ft ladder.


  • Ensure the reception desk and its surrounding areas are neat and orderly.
  • Greet all visitors in a professional and friendly manner, direct all vendors/visitors.
  • Ensure all vendors/visitors have signed a Non-Disclosure Agreement (NDA) and enter information in NDA maintenance system.
  • Send and receive faxes, scan documents, etc.
  • Coordinate and order lunches for meetings, training sessions, etc.
  • Perform daily facility runs and straighten as required, checking conference rooms, break areas and all common areas.
  • Coordinate repairs with appropriate vendors, such as HVAC, plumbing, electrical, building property management, etc. 
  • Order/fill offices and company break areas supplies
  • Copier/fax and printer coordination – fill paper in units and adjacent cabinets daily.  Coordinate repairs as needed.
  • Sort and distribute mail/packages.
  • Handle shipping/receiving requests as needed, understands international shipping processing.
  • MS Word & Excel literate to assist with document creation and data entry.
  • Various filing and data entry projects.
  • Process access badge within access badge system for new employees, departures and visitors.  Track badge assignments for contractors and vendors.
  • Enter Purchase Requisitions in processing system and track progress.
  • Manage and distribute tickets to the to the proper technicians from the Track-It! ticketing system.
  • Take photos of new employees, format them and upload onto the server for access badge creation.
  • Perform facility safety walkthroughs and identify problems areas, follow thru on rectifying those problems, maintain logs, etc. Including taking the minutes for safety meetings.
  • Assist departments with administrative and various projects as needed.
